I wish to organise an event

In accordance with the Provisions of the Vilnius Castles State Cultural Reserve, approved by the resolution No. 1111 of the Government of the Republic of Lithuania on July 11, 2002, events in the Vilnius Castles Reserve are only allowed if organized according to the rules of use and visitation established for the reserve.

According to the mentioned rules, approved by the order No. ĮV-145 of the Minister of Culture of the Republic of Lithuania on April 14, 2005, individuals and legal entities that have entered into agreements with the Directorate may be allowed to organize or hold events within the reserve.

Requests to conclude agreements regarding events should be submitted no later than 20 working days before their start. Such requests can be submitted through the general Directorate email, [email protected], or via the  E. Delivery information system.

The size of fees, payment procedures, and other conditions for organizing events within the reserve territory are regulated by the  Description of the Procedure for Determining the Prices for Paid Services for the Organization of Commercial Events in the Vilnius Castles State Cultural Reserve territory, approved by the order No. V-2 of the Director of the Vilnius Castles State Cultural Reserve on February 28, 2018.

The request to conclude an agreement for event organization must include:

• Organizer's contact information, event nature, date, venue, and time.
• Brief description of the event, its program, expected number of participants and spectators.
• Description of technical or other equipment, their layout plan (if used).
• Traffic flow plan.
• Schedule and conditions for preparatory and concluding works of the event.
• Trading, if applicable, venue, time, nature, equipment (a separate agreement is concluded between the trader and the Directorate for permission to trade or provide service industry services within the Vilnius Castles State Cultural Reserve territory).
• External advertising, if applicable, nature, installation location(s), graphic solutions.
• Conditions for event venue security (if applicable, a copy of the security service provision contract is provided).
• Conditions for venue arrangement (if the organizer indicates that they will arrange it themselves, this obligation is submitted in writing, signed by the responsible (authorized) person and indicating contact information; if the venue is arranged by a company engaged in territory management, a copy of the agreement with it is provided).

Depending on the scale and characteristics of the event, before the agreed start of the event, a handover-takeover act of the Vilnius Castles State Cultural Reserve territory may be signed between the Directorate and the organizer, and upon its completion – an acceptance-handover act of the Vilnius Castles State Cultural Reserve territory.
